Jigsaw Performing Arts is a franchise business with over 50 schools across London, the Home Counties and Wales. They needed a bespoke booking and franchise management system that could grow with them through the next 30 years.

The Challenges

Jigsaw were running their entire operation on outdated processes, fragmented systems and a booking engine they didn’t own.

Their booking system was leased from an external supplier, meaning they had limited control over the user journeys and customer experience, and the third-party domain made it hard to track performance of marketing campaigns or run any sophisticated retargeting. They needed to take control of their entire processes and own their data.

Our Solutions

Having previously worked with franchise businesses we had seen the challenges and knew the possibilities for streamlining Jigsaw’s entire business operations. We knew they had to bring everything together onto one system. The customer facing website needed to integrate with a smart booking administration dashboard on one platform to halve their system running costs and improve efficiency. The same platform needed to handle the class management tasks like producing registers and handling absences, and that platform would also automate time consuming franchise procedures like invoicing and accounts reconciliation.

Together with Jigsaw’s Head Office team and lead Franchisees we scoped, designed and built a complete franchise management and booking system. Starting with an extensive Discovery phase, we held feedback sessions with the franchisees, system administrators and end customers to understand what existing functionality was valuable to them, and what they wanted to see in a new system.

We then detailed the complex admin and front-end requirements in a series of wireframing workshops and wrote detailed technical specification documents that our design and development teams brought to life using Laravel and Next JS headless development. The result – an all-encompassing franchise management system that makes Jigsaw run more efficiently and makes Google and their end customers happy.

The Results

The new franchise website and business management system is a complete all-in-one platform completely tailored to Jigsaw’s operational and promotional needs.

The system allows different user types to log in and perform various functions based on their permissions. Franchises can set up their individual classes and upload unique content, blogs and links to their social media channels, as well as managing their bookings, absences, payments and franchise fees, while admin can perform the top-level tasks including new franchisee set up and commission management.

The new website factors in SEO and eCommerce best practice. Location pages are tailored for local SEO, allowing parents to search and find the right classes for their child’s age group in their area.

Parents can log into the system to track their child’s progress and see the milestones achieved for one or multiple children. A review system allows for full transparency and trust across the entire organisation and encourages sign-ups.

Now, Jigsaw is in full control of their data and marketing funnel so they can recruit new franchises and members across the network. There is also a shop for uniform and certificates. All aspects of the franchise experience are now handled in one system – reducing the time spent between multiple platforms and spreadsheets, and giving Jigsaw the time and tools to grow their brand.
